PREPARING FOR YOUR FIRST FLOOR MEETING

It is important to prepare for your first floor meeting, so that you start the year off right. Your audience might never be as captive as it will be at the first floor meeting. Make the most of these moments! Below are items we recommend you include in your meeting. It will be important to add anything
community-specific your supervisor requires you to talk about.                                    
 

TIPS FOR RUNNING A GOOD MEETING 
    · Post the date and time well in advance. Make sure it doesn’t conflict with other activities. If a lot of people 

            can’t come, change it to a better time
    · Post the time and date in obvious, unavoidable places – community bathroom stalls, corridor entrances, or 
            individual room doors – be creative with your signs
    · Be well prepared for your meeting. Have some notes, maybe an agenda on the wall. Be organized in a 
            fashion that is attention holding
    · Be excited and enthusiastic about the things you are talking about. If you are excited, others will be too!
    · When the meeting time comes, knock on doors and inform residents that it is time for the meeting… students
             are busy and might forget. Remind them!
    · Have food! Food is a great incentive, but don’t let it interfere with the meeting
    · Sit or stand in a position where everyone can you see you and each other
    · Encourage people to talk, but to listen to others when they are talking. 
    · Get as many people involved in the meeting as possible. No one likes to be lectured
    · Encourage people to be involved in discussion. Don’t let people’s attention get away; ask them what they
             think if they aren’t saying anything
    · Make meetings fun and purposeful. Come out of the meeting with new ideas, tasks, and having accomplished
             the meeting’s purpose
    ·  Handouts are always fun. They give people something to take home from the meeting
    ·  Review the main points at the end of the meeting, so everyone remembers them
    ·  Make sure that by the end of the meeting, everyone has had a chance to say what they needed to
    ·  Ask for feedback or improvements on your meeting leadership style from your floor
    ·  Make floor meetings fun. Be CREATIVE!
