Each student room/apartment will be inspected once a semester. Inspections are conducted to ensure that all students rooms are free from fire hazards, are clean, to identify maintenance problems, and to ensure that policy violations are not present.
RA Instructions · Residents are informed of room/apartment inspections at a floor meeting · Notices are posted 48 hours in advance of inspections beginning · Residents do not need to be present for the inspection, although this is preferable. If the residents are not present, two RA’s must key in together.
Examples of what to look for: · Fire code violations (disabled smoke detector, objects blocking sprinklers) · Policy Violations (alcohol, drug paraphernalia, candles, toasters, etc.) · All furniture present and unaltered · No other housing furniture from lounge or other rooms · Trash removed or present in a reasonable amount (no overflowing garbage cans or excessive trash) · No damage/vandalism or alteration of facility · Overall cleanliness: bedrooms, common areas including if applicable, kitchen area, tub & shower curtain, toilet, microwave, floors, under sinks · Signs of pets (leashes, pet food, pet bowls, crates) · Signs of permanent guests
If students are present: the RA should discuss violations, indicate what needs attention and tell the residents when re-inspection will take place if necessary.
If students are not present: the RA should leave notification for the residents explaining the outcome of the inspection, what needs to be done before re-inspection, and notice of when the re-inspection will occur (if necessary).
Re-Inspections RAs will return to each room within 24 hours of a failed inspection to see that problems have been corrected. RAs will record any work that needs to be done, whether it is a facilities problem or a student problem, and follow up accordingly. If residents are not present, RAs will follow same procedure as above for original inspection.
After all re-inspections have occurred, RAs will submit maintenance requests as appropriate and turn in the Health & Safety Inspection Forms as well as an incident report for all policy violations and failed re-inspections to the supervising professional staff.
